Build a project board around decisions

An independent planning guide for teams organising work in monday.com.

STEP 01

Choose the unit of work

Decide whether an item represents a deliverable, job, request or project. Avoid mixing all four without an explicit structure. Give each item one accountable owner and a clear outcome so the board is useful for action rather than just a colourful status display.

STEP 02

Agree the meaning of each status

Write down what starts and finishes each stage. Separate “waiting for customer” from “in progress” when the team needs to act differently. Keep a small set of states and test them against a few real jobs before importing an entire backlog.

STEP 03

Automate a stable handoff

Start with one notification or ownership change that has an unambiguous trigger. Test a sample item, repeated changes and the exception case. Confirm feature availability in the official documentation for your plan before relying on an automation or integration.

STEP 04

Review exceptions, not just charts

Use the board to find overdue, blocked and unassigned work. Confirm who maintains dates and who can change workflow settings. Keep a documented export or recovery approach appropriate to the business rather than relying on a dashboard as the only record.

Choose the right next step

  • Simple team queue: use a small board with consistent ownership and dates.
  • Cross-team delivery: define handoff criteria before connecting boards.
  • Noisy automation: remove unclear triggers and test one change at a time.

Worked example

A facilities team tracks requests through New, Scheduled, In progress, Waiting and Done. “Done” requires a completion note, not just a colour change. A weekly review checks waiting items and missing owners instead of repeatedly asking every person for a verbal update.
